Getting startedStart your 14-day guided trialCreate a workspace, choose how revenue should roll up and add your first athlete campaign.

How to do it

  1. Select Beta access and sign in with an available identity option.
  2. Enter your company, industry and initial location count.
  3. Choose location-level or company-wide revenue reporting.
  4. Add your first athlete manually or continue to the Athlete Roster Center.
  5. Open the dashboard and follow the setup actions for tracking and revenue data.

Team & accountInvite employees and assign accessGive colleagues the minimum workspace and location access required for their role.

How to do it

  1. Open Workspace, then Account & sign out.
  2. Enter the employee email address and select the appropriate role.
  3. For location-restricted roles, select only the locations they may view.
  4. Create the invitation link and deliver it to the matching email address.
  5. Review active team members periodically and remove access that is no longer needed.

Athletes & campaignsSelect athletes from a college rosterMove from college to sport, season and roster before adding one or more athletes to a campaign.

How to do it

  1. Open Athletes and search for the college or university.
  2. Choose the sport and season available for that institution.
  3. Search or filter the roster, then select one or more athletes.
  4. Review position, jersey number, academic year, source and last-updated date.
  5. Confirm the selected athletes and create the campaign records.

Athletes & campaignsImport or manually add roster athletesUse a CSV when provider data is unavailable, or add an individual athlete without delaying campaign setup.

How to do it

  1. Open the Athlete Roster Center and choose the target school, sport and season.
  2. Download or follow the roster CSV field format shown by the importer.
  3. Upload the file and review inserted and duplicate row counts separately.
  4. Use Athlete not listed? Add manually for an individual record.
  5. Confirm the source and last-updated date before using the roster.

How to do it

  1. Open Campaigns and create or select the athlete partnership.
  2. Enter the primary outcome, campaign spend and operating status.
  3. Select a college theme or keep the standard VarsityProof appearance.
  4. Save the campaign before adding revenue or tracking assets.
  5. Return to the campaign whenever spend, status or attribution settings change.

  2. Create tasks with an owner, status and due date.
  3. Import a CSV or ICS schedule using the upload controls.
  4. Review imported events and duplicate counts before scheduling deliverables.
  5. Avoid placing sensitive class details in support tickets or public campaign notes.

How to do it

  1. Open Integrations and download the transaction template.
  2. Provide date, amount, location and source transaction ID for every row.
  3. Add tracking source, source system, refund status and refund amount when available.
  4. Upload the completed CSV and review imported versus duplicate counts.
  5. Open Analytics to confirm net revenue, sources and locations.

Attribution & integrationsSend conversions through the secure webhookConnect an unsupported booking, POS or internal system without waiting for a native integration.

How to do it

  1. Open Integrations and generate a universal webhook endpoint.
  2. Copy the endpoint and JSON example into the source system or automation tool.
  3. Map athlete, campaign, location, source, revenue, refund status and transaction ID.
  4. Send a test conversion and confirm that it appears in the attribution ledger.
  5. Store the endpoint securely and regenerate it if exposure is suspected.

Attribution & integrationsUnderstand direct integration availabilityKnow which sources work immediately and which require production credentials or guided setup.

How to do it

  1. CSV imports and the universal webhook are available immediately.
  2. Shopify order and refund synchronization requires an approved production app and credentials. Square and QuickBooks synchronization are planned.
  3. Open Integrations to see the current connection status for each provider.
  4. Use CSV or webhook ingestion until the provider connection is fully active.
  5. Contact support if a connected source stops delivering records.

Attribution & integrationsConnect Shopify and verify order attributionAuthorize a Shopify store, match paid orders to VarsityProof codes, and confirm refunds reduce net revenue.

How to do it

  1. Create an active campaign and tracking asset with a promo code or tracking link before connecting the store.
  2. Open Integrations, enter the permanent store domain ending in .myshopify.com, and choose Connect Shopify.
  3. Review Shopify's requested read-only order access, install the app, and return to VarsityProof.
  4. Confirm the Shopify card says Connected, then place a controlled order using the campaign promo code or tracking link.
  5. Open Analytics to confirm the order, athlete, campaign, location and net revenue, then refund the order and confirm net revenue decreases.

  1. Open Operations and choose Tracking assets.
  2. Select the campaign, athlete and location the asset belongs to.

  1. Open Operations and choose Evidence Vault.
  2. Select the campaign and, when applicable, the related compliance record.
  3. Choose the evidence type and upload the file.
  4. Confirm the filename, date and audit-history entry.
  5. Limit workspace access to people who are authorized to view the material.

How to do it

  1. Open Analytics from the application menu.
  2. Choose Overview, Campaigns, Athletes, Locations or Attribution ledger.
  3. Filter by campaign, location, source, refund status or date.
  4. Review the latest record and data-status panel before sharing conclusions.
  5. Export the ledger to CSV or use Print report for a shareable summary.

  2. Compare Starter, Growth, Agency and Enterprise limits.
  3. Choose a paid plan and complete the secure Stripe-hosted checkout.
  4. Return to Subscription and select Manage billing & invoices when available.
  5. Contact billing support if checkout remains pending or a plan change requires assistance.
