Sponsor Report Example

A useful School sponsor report connects what was agreed with what has been delivered, the Evidence supporting it, any independently reviewed quantities, and the work that remains. Measured response belongs beside that record with its source and limits clearly stated.

Use the example and blank outline below to prepare a sponsor update in your own document or spreadsheet. You can use them without VarsityProof, an account or an email address.

What belongs in the report

Start with the sponsor, School, Agreement reference, term and the date through which the report is current. Then show each promised benefit with its quantity and delivery status. Keep the original commitment visible when work is partial, disputed or awaiting review.

Use these distinctions consistently:

Agreed quantityHow many units the accepted Agreement requires.
Reported deliveredHow many units staff have recorded as delivered. This is a delivery statement.
Submitted EvidenceThe photo, document, URL or other record submitted to support a specific benefit. Uploading a file does not add another delivered unit.
Independently verified quantityThe units supported by a recorded review from a different authorized person. Record the reviewer, date and decision; the submitter cannot independently verify their own work.
Observed responseActivity recorded by a stated measurement method during a stated window. It does not establish delivery or a sponsor's business result.
Open workUndelivered units, missing proof, review decisions and exceptions that still need action.

If a review has not happened, say Awaiting review. If the evidence is unavailable, say Evidence missing. If you do not know the delivery state, say Unknown and assign someone to resolve it. A blank cell should never imply that work is complete.

A fictional worked example

Fictional demonstration only. Oak Creek High School, Apex Local Automotive and the Maroon & Gold Elite Package are the synthetic records used in the VarsityProof for Schools demo. They are not a customer, testimonial or record of a real School event. The summary below adapts the public demo into a manual teaching outline; it is not an exported product report.

The accepted package includes one venue banner, two social recognition posts and two home game announcements: five required units across three benefits.

These are counts of agreed units, not a weighting of their commercial importance. One banner and one announcement may require very different work. The outline does not assign a dollar value or exposure value to either.

Evidence and review

The banner has a reviewed Evidence record in the fictional workspace. The recognition submission remains pending. The public demo does not reproduce the reviewer identity, review date or complete Evidence references in this outline; those fields must remain marked Not reproduced here. In your own report, retain the actual review record before describing a quantity as independently verified.

A reviewer's decision may support some units without supporting the entire obligation. If only one of two posts has qualifying proof, the review should not become two verified posts. Rejected or insufficient Evidence stays visible until the issue is resolved.

Response

The fictional Apex campaign has a tracked link and zero valid responses recorded at the demonstrated state. That is what this example can say. It does not show that nobody saw the sponsorship, that the sponsor received no business, or that the campaign had no value.

The exact measurement-window dates are not reproduced here. There is no basis in this outline for adding an audience count, sales total, media valuation or ROI. Browser sessions must not be relabelled as people, and repeat or excluded activity must not silently become additional valid response.

Use Not measured when no method was in place, Unavailable when a measurement record cannot be obtained, and 0 recorded only when the stated method actually returned zero for the stated window. These are different findings.

Proposed next actions for this fictional case

The report supports a practical conversation about unfinished work. The following are example actions a School could choose; they are not additional events shown in the demo:

  1. Assign a different authorized reviewer to decide whether the pending recognition Evidence supports the recorded unit.
  2. Confirm the schedule and owner for the remaining recognition post and two announcements against the accepted Agreement.
  3. Add exact report-cutoff and response-window dates before using the report for a sponsor conversation.
  4. Carry unresolved items into renewal preparation. Preparing the next term does not erase a prior commitment or establish that a renewal has been agreed.

Share the information needed for the sponsor discussion. Keep private internal notes and Evidence restricted to their intended recipients. Check images and attachments for student information or other material that does not belong in a sponsorship report.
