0:00 A clear view of the work

School sponsorships, managed from agreement to renewal. VarsityProof for Schools keeps the accepted terms, assigned work and supporting proof connected. This is Oak Creek High School, a fictional school used for this demonstration. Every screen comes from the published application. The dashboard shows one active sponsor and one Agreement. Some work is complete, some proof needs review, and a renewal is approaching.

0:31 Bring your existing program

You do not have to start your program over. Bring the package names, benefits and accepted agreements you already use. Supported spreadsheet paths, website references and document review help stage proposed structure. They do not create approved records automatically. For help organizing the starting point, ask about Complimentary Sponsorship Program Setup. Your School reviews the details and approves the work. Charitable giving stays in your existing advancement system.

1:05 Preserve the accepted terms

Let us follow one sponsorship through. Apex Local Automotive selected the Maroon and Gold Elite Package for the fall term. The Agreement records twenty-five hundred dollars and the accepted dates. Three benefits call for five units of work: one venue banner, two social recognition posts and two home game announcements. The executed Agreement preserves those accepted terms. Its revision history remains available, so later work does not erase what was originally agreed.

1:39 Assign and record delivery

Fulfillment turns commitments into work someone owns. Each obligation shows its sponsor, Agreement, due date, required quantity and status. Staff open the task to see what was promised and what proof is required. Here, the banner is delivered and one recognition unit is recorded. The two announcements are unfinished. That is two of five required units, or forty percent fulfillment. Recording progress is not the same as verifying its supporting Evidence.

2:13 Review proof against the benefit

Evidence belongs with the specific benefit it supports. Assigned staff can open a task on a phone, choose a photo or document, add context and record the total quantity delivered. This banner image is synthetic, not a photograph of an actual school event. It illustrates the type of installation proof a team might submit. In this workspace, the School Administrator has reviewed it and credited one unit. The recognition record is still awaiting review. Keeping submitted and verified states separate helps the team see what is supported and what still needs a decision.

2:52 Keep measurement honest

Measurable Response is a different record from delivery. A banner being installed does not tell you how many people acted on it. Here, the Apex campaign has a tracked link, but no valid response has been recorded yet. VarsityProof shows that honestly. As supported activity arrives, the workspace separates valid responses, browser sessions, repeats and excluded events. A unique session is not a unique person. These counts do not establish sales, impressions, media value or return on investment. Review the methodology alongside the numbers.

3:32 Report the record, including gaps

Reporting brings the same record together for the sponsor. This Fall twenty twenty-six report includes the Agreement, delivery quantities, reviewed Evidence and recorded Response. It shows five units promised, two completed and one verified. Notice the attention message. Incomplete verification has not disappeared because a report was issued. Recognition needs review, and announcements remain unfinished. The school can explain progress and follow up on those gaps without turning an incomplete record into a success claim.

4:09 Prepare the next term

When renewal approaches, the history is already connected. The Renewal workspace brings forward the prior Agreement, fulfillment, Evidence and current issued report. This case is Ready for preparation, not a completed renewal. The team can review what remains and use the record to plan the next conversation. Preparing the next term does not overwrite the original Agreement or copy old proof into a new delivery claim. The school keeps its history while deciding what comes next.

4:42 Know what needs attention

Back on the Overview, the next actions are easy to find. One Evidence submission needs verification, and one renewal is approaching. The dashboard is not asking you to reconstruct the story from an inbox or a spreadsheet. It points you back to the work and its source. Agreements, delivery, Evidence, Response, reports and renewals stay connected, while each record keeps its own meaning.
